Planning a commercial move

1. Appoint a move champion

first things first, look at your team of employees and appoint someone who will co-ordinate the move for you. This person should have strong communication and organisational skills, and the ability to lead a plan through to execution. This position is not to be underestimated.

2. Put a plan together

your newly appointed move champion should put together a timetable or checklist to make sure nothing is left unorganised. Depending on the size of your operation, these plans should be laid up to a year in advance.

3. Communicate with your employees

let them know about the move in plenty of time. Think about how the move will impact them, and keep them in the loop. On the move day itself, think about giving all non-essential staff the day off, so there’s less people to get in the way!

4. Streamline your office

Just like when you move house, moving office is a great opportunity to have a clear out, so you don’t have to pay us to bring all your old clutter with you. Get your staff to take responsibility for their own desks or work areas, and then organise how to clear out communal or business areas for maximum impact.

5. Prepare your new premises

We suggest you don’t move in the day you get the keys. Take a little time to get the offices up to scratch. This is the time to paint the walls, lay network cable, or any other disruptive job best done when the place is empty. The most important thing you can do during this time is to get your internet and phone connection up and running before the first computer steps foot through the door. You may be excited to move in, but waiting to be connected when you have a room full of staff twiddling their thumbs is an expensive business, and one best avoided!

6. Measure up and plan out

Measure up each of the desks, chairs, filing cabinets and other furniture you have in your office, and create an accurate floor plan, so you can work out who is sitting where, and how you can fit all your furniture in effectively. There’s no point moving desks that don’t fit. A little preparation here, goes a long way.

7. Think about your technology

How are you going to set up the new computer network? Do you need to get a new network set up before the move? Are all your computers coming with you? Perform a thorough tech audit and plan ahead to make sure you seamlessly integrate your computer systems into your new building without fuss or hold up.
